The opportunity

The Charles Stewart Mott Foundation is seeking a fund operations analyst to support our Investment office’s document and data workflow.

The fund operations analyst applies a high level of detail and scrutiny to manager documents and data, following up directly with investment managers on gaps or discrepancies and organizing and validating information for the monthly close and performance reporting process. The position also owns investment execution and document retention, supports cash reconciliation and helps safeguard data integrity across the Investment office’s systems.

Key responsibilities

Document review and monthly close preparation

The fund operations analyst will perform a detailed quality check of manager documents and data gathered by the Investment office’s administrative assistant, verifying completeness and accuracy. The person will follow up directly with investment managers on missing, late or inconsistent documentation, and will gather, organize and hand off validated manager data to the investment operations analyst in time to support monthly close and performance reporting. The analyst also will update the daily cash sheet and flag anticipated capital activity.

Investment execution and document retention

The fund operations analyst will lead the operational onboarding process for new investments, including coordinating with the fund administrator, setting up funds in the portfolio management system, and preparing subscription agreements and required compliance forms for signature. The person will process capital calls, cash distributions, stock distributions and other fund documents, and will maintain the investment pipeline and transaction calendar to ensure subscription deadlines and funding requirements are met. The analyst also will own document retention for the Investment office, ensuring manager reporting, subscription and legal documents, as well as audited financials, are retrieved, tagged and stored in accordance with the Foundation’s records retention policy.

Cash reconciliation and data integrity

The fund operations analyst will support the investment operations analyst’s reconciliation among the fund administrator, custodian and portfolio management system, researching and helping resolve discrepancies identified during monthly close. The person will ensure exposure and transparency data is kept current across all funds and will reconcile manager-provided data against internal records, flagging discrepancies before they reach the investment operations analyst.

Fund onboarding and operational due diligence

The fund operations analyst will support the Investment office’s operational due diligence process on new and existing managers, reviewing operational infrastructure, service providers, valuation policies and controls, and documenting findings for the Investment team. The person will maintain organized records of fund documents, side letters and key terms.

Systems and reporting support

The fund operations analyst will become a proficient user of the Investment office’s technology stack, including the portfolio management system, LP Analyst and BNY Nexen, and will use business intelligence, data warehouse and AI-enabled tools to produce accurate reporting and analytics. The person will assist in the preparation of the quarterly Investment Committee book, reports and charts and will proofread materials for accuracy.

Ideal candidate

The ideal candidate is detail-oriented and comfortable working directly with investment managers to resolve documentation gaps or discrepancies. The successful candidate will bring strong organizational skills and sound judgment to a role that requires accuracy under recurring monthly deadlines.

This role requires someone who can manage a high volume of documents and data across multiple systems while maintaining consistent quality control, and who can communicate clearly with internal colleagues, external managers and service providers. The position also serves as backup for administrative support whenever necessary.

Qualifications

  • Bachelor’s degree in accounting, finance, economics or a related field, or an equivalent combination of education and experience, is required.
  • Two to five years of experience in investment operations, fund administration, accounting or a related field, as well as experience at a foundation, endowment, family office, OCIO or fund administrator, is highly desirable.
  • Hands-on experience with alternative asset classes, including hedge funds, private equity, private credit or real assets, is strongly preferred.
  • Experience with a portfolio management system, research or document management system, or transparency and exposure platforms such as LP Analyst is a plus.
